CLINTON COUNTY SHOWCASE
REGULAR MONTHLY
MEETING MINUTES

January 27th, 2010
 


The following were in attendance; Board Officers Dustin McSparin, Jill Klostermann, Angie Hammel, Rob Otrembiak, Paul Klostermann, Charlie Huelsmann, Deanna Ratermann, Hank Crider, Rob Persing, Lois Kellermann and Pat Krehrer. Also in attendance were Bob Haag, James Kellermann and Adam Broeckling.


Adoption of Agenda
Meeting called to order at 7:30 by Executive Director Dustin McSparin
Motion to accept the agenda by Charlie Huelsmann
Second by Rob Otrembiak
All in favor, motion carried

Approval of Minutes
Motion to consider removing the paint needs to be changed to “to remove paint cans”, also the motion to consider waste disposal should be changed to “have waste disposal”
Motion to accept the minutes made by Paul Klostermann
Second by Hank Crider
All in favor, motion carried

Reports of Officers

Executive Director –Dustin Mc Sparin
- Discussed a Goals and Objectives form available for all board members to look at. It shows everything we have accomplished so far this year and what we still have to accomplish.
- Strategy for the organization
- SOP’s: Dustin will be visiting via email with all board members in February and March regarding their SOP’s

Asst. Executive Director – Jill Klostermann
- Ad Hoc committee Report

Secretary Report - Angie Hammel
- Correspondence
- Newsletter: would like to be a part of the next Fundraising Committee meeting

Treasurer Report – Lauren Fuehne
- Balance 12/16/2009 = $28,490.45
- Total Income = $26,050.00
- Total Expenses = $8,804.09
- Balance 1/24/2010 = $45,736.36
- Rob Otrembiak makes a motion to establish an interest earning savings account at GTSB to accurately track temporary restricted funds.
- Second by Jill Klostermann
- All in favor, motion passed
- Letter from Attorney General, State of Illinois
- Letter from Mater Dei High School about donations
- Board decided to move the Waste Disposal charges to Building expenses

Reports of Committees
Production Committee – Paul Klostermann
- Paul went through a few highlights of the revised production policies and guidelines
- Paul makes a motion that the revised production policies and guidelines are accepted as written and shall be the standard to take effect for all productions in the 2010-11 season and beyond.
- Second by Pat Krehrer
- All in favor, motion passed
- Charlie Huelsmann held a lighting seminar. Good attendance and Charlie plans to have more in the future.
- We are still waiting on contracts for some of the shows for next season

Publicity Committee – Lois Kellermann
- Met via email since the last meeting
- Discussed the Community Calendar and it positives and negatives
- Best Little Whorehouse in Texas announcements will be out soon

House Management Committee – Rob Persing
- Held a meeting since the last regular board meeting
- The House Management Committee made a motion to get a front and back door key made for Excel Bottling.
- Second by Paul Klostermann
- All in favor, motion passed

Fundraising Committee – Jill Klostermann
- Did not have a meeting since the last regular board meeting
- Trivia Night will be held in March, no official date is set but Paul is heading it up.
- The 20th Anniversary date is official with the city, June 12th at the park. Jennifer Klostermann has agreed to take charge of the show. There will be more meetings to discuss the details of the event.

Unfinished Business
- Henken Storage
- Pat would like to be added to the February agenda

New Business
- Bob Haag
- Life Insurance Endowments presentation
- Upgrades at the Park
- Whatever we want done we have to submit to the Park Board and the city will pay for it.
- We will revisit this topic in March.
- Rules of the Organization
- Charlie discusses the rules of the organization. We have started compiling a list and will continue looking into this.
- Paul makes a motion that an ad hoc committee be formed, headed by Angie Hammel, to formalize the rules of the organization.
- Second by Rob Otrembiak
- All in favor, motion passed
- Membership Kick-Off
-Box office made a motion to open all six nights to season ticket holders 2010-2011 season.
- Second by Paul Klostermann
- All in favor, motion passed
-Deanna will be forming a committee and will be revisiting this topic in February

Our goal is to provide a creative artistic outlet for our youth as well as adults. To that end we have established the following Scholarships to be presented annually.
