REGULAR MONTHLY

MEETING MINUTES

 

August 26th, 2009

 The following were in attendance; Board Officers Dustin McSparin, Lauren Fuehne, Angie Hammel, Jill Klostermann, Paul Klosterman, Mike Huelsmann, Pat Kreher, Charlie Huelsmann, Lois Kellermann and Deanna Ratermann. Also in attendance were Lori Wahl, Lynne Huelsmann,  Deb Stratman, Lynn McSparin and Steve Klostermann. 

 Adoption of Agenda

Meeting was called to order at 7:30 by Executive Director Dustin McSparin

Charlie Hueslmann makes a motion to accept the agenda

Second by Mike Huelsmann

All in favor, motion carried

 Approval of Minutes

Mike Huelsmann asked that the minutes be referred to as the Regular Monthly Meeting minutes instead of Board Meeting Minutes.

 Dustin McSparin needs to be taken off the motion for the Treasurer’s Report.

 Mike Huelsmann makes a motion to accept the minutes

Second by Jill Klostermann

Reports of Officers

         Executive Director – Dustin McSparin

-Goals Update

      - Went over several items discussed by executive board

                  1.  Refreshments

                  2.  Ushers

                  5.  What we do(put on shows) vs. our purpose(support the arts)

- Membership Special Committee Meeting - Deanna Ratermann

      - Meeting took place Monday, August 24th        

      - Deanna Ratermann makes a motion to keep the general admission prices at $9 for students, seniors and active military, $10 for adults, $6 for youth musical and lower season tickets price to $42 for the 2010-2011 season.

      - Paul Klostermann seconds the motion

      - All in favor, motion passed

 

          Asst. Executive Director – Jill Klostermann

- Reports on professionalism within the organization.

           

            Secretary Report - Angie Hammel

              - Correspondence

                        - We received a letter from Ruth Lager regarding Joseph and the Amazing Technicolor Dreamcoat. She thanked CCS for another great show.

                  - Meeting to brainstorm ideas for the Newsletter will be held on August 16th.                      

            Treasurer Report – Lauren Fuehne

- Reporting Method of Financial Performance

      - There is a change in layout

      - If anyone would like to see specifics they can make a request to Lauren.

- Box Office totals for Alice In Wonderland Jr. were given out. They total $5,510.37 in profit.

- There is a change in what we consider box office profit

      - Doesn’t include concessions, 50/50 or season tickets

- Totals for Joseph Expenses were given out

- We were given a new tax id number

- Have to pay property taxes at a total of $416.75

- Balance on hand as of July 23rd = $31,357.94

- Total Income = $14,627.50

- Total Expenses = $11,365.14

- Balance on hand as of August 26th = $34,620.30

  

Reports of Committees

     Production Committee – Paul Klostermann

     - Read final report of Joseph and the Amazing for Director Lynne Huelsmann

      - Paul makes a motion to form a show selection committee. This committee will consist of Paul Klostermann, Rob Otrembiak, Charlie Huelsmann, Lynne Huelsmann, Lori Wahl, Hank Crider and James Kellermann.

            - Second by Mike Huelsmann

- All in favor, motion passed

- Charlie Huelsmann makes a motion that the Tech Director is allowed to purchase no more than 9 source 4 jr zoom lights with the purchase amount not to exceed $3500. This purchase will be done as to have these lights in the theater and usable for the Oct. show.

- Paul Klostermann seconds

- Charlie Huelsmann makes a motion to amend previous motion that the Tech Director is directed to purchase 9 source 4 jr zooms from FullCompass.com. For the prices quoted on the Attachment ($2398.15). The total purchase should not exceed $2500.

- Paul seconds

- Mike Huelsmann would like to make an amendment to change motion to “be only used inside”

- Charlie Huelsmann seconds

- All in favor, motion passed

 

      Publicity Committee – Lois Kellermann

     - Press release for Footloose has been circulated

      - Audition information for Everybody Loves Opal has been released

 

House Management Committee – Mike Huelsmann

- No meeting held since last regular meeting

- Since the meeting one production was held.

- Mike is sending a sign-up sheet to be put on the web for the rest of the season.

- Tent set up for Footloose will we 09/09/09

- Next meeting will be held 09/23/09 at 6:00

- Workers are needed for the Alice in Wonderland Jr. fundraising event. Concession and crowd control workers are needed.

  

Fundraising Committee – Jill Klostermann

- Thanked board members for their participation in the auction

- Hands floor over to Lynn to discuss the auction

      -  Total Expenses: $1,907.00

      -  Net Profit: $9,053.00

- Had a fundraising committee meeting since last regular meeting

      - Decided how the money from the auction will be allocated

                  - 35% will go towards Charlie’s lighting plan

                  - 65% will go towards Pat’s front of house improvements

      - In March there will be another Trivia Night

      - No golf tournament this year

      - The anniversary event will be held in June, hopefully out at the park

      - September 25th is the showing of Alice in Wonderland at the theater

- The next Fundraising Committee meeting will take place after Footloose.

 

New Business

- No new business

         

          Next meeting September 23rd at 7:30pm

Clinton County Showcase is a non-profit community arts group (Breese, Illinois) dedicated to promoting art, music, and theatre events. Our goal is to provide a creative artistic outlet for our youth as well as adults. To that end we have established the following Scholarships to be presented annually.
